Visie Communications ltd – Privacy Policy

This policy describes the personal information Visie Communications hold. This policy is limited to our brands, which include but are not limited to Fleet Vision International, OWL events, Fleet Vision events and Visie Communications, why we collect it, how we use it, and when we share it with suppliers.

Personal data is defined by the General Data Protection Regulation (EU Regulation 2016/679) (the “GDPR”) and the Data Protection Act 2018 (collectively, “the Data Protection Legislation”) as ‘any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier’.  The company Visie Communications, a data processor, is registered in England and Wales (with company number 1243375 and VAT number 343 9560 83) and with registered offices at 109 Newland, Sherborne, DT9 3DU.

Personal data is, in simpler terms, any information about you that enables you to be identified. Personal data covers obvious information such as your name and contact details, but it also covers less obvious information such as identification numbers, electronic location data, and other online identifiers.

How do we collect personal data?

We ask you for your information in different manners:

  • Complete a subscription form to be sent Fleet Vision International every time
  • Complete a subscription form to be sent the FVI newsletter every time
  • Register to visit the OWL events
  • Register to attend the FVI events
  • Complete an order form for a stand at the OWL
  • Complete an order form for advertising in Fleet Vision International
  • Complete a membership form for the Westminster Commission for Road Air Quality

Besides, when choosing to engage in social media, the social media site may share information with us about your use of their services, including profile information, information about your contacts and content you have viewed or liked.

What personal data do we collect?

Visie Communications Ltd may ask for the following details from you: first name, last name, job title, organisation, address, telephone and mobile, email.

We may also ask you to complete a tick box form to register the following:

  • The type of organisation you work for
  • Your purchasing/specifying status
  • What commodities/services your company purchases
  • Your employment position

Why does Visie Communications Ltd collect this data?

Visie Communications Ltd gathers this information so that we can send you FVI online, or to send event updates and to ensure that you are registered when you attend one of our events.

When you are visiting one of our events, either OWL, FVI, or WCRAQ, you will be provided with identification to gain admission. Your identification carries an individual bar code. If you let exhibitors scan the identification, they will receive your contact details. If you do not want to provide your contact details to an exhibitor, do not allow them to scan your badge at the event.

If you are exhibiting or advertising with us, we require this information to create a contract with you for booking a stand or an advert in the magazine. We may also use your data to keep our audience updated about our scheduled events and product updates.

Based on your consent

Where you have completed a paper or online form and consented to be contacted about particular products, we will honour that. You are free at any time to change your mind and reverse your consent by unsubscribing from receiving information from us about one or more of our products.

As necessary for our legitimate interests

Visie Communications has a genuine and legitimate reason to get in touch, and we are not harming your primary rights and freedom. This reason means that we can offer you free visitor access to one of our events or to send you Fleet Vision International free of charge (either in print or online). We can also send you the free monthly FVI newsletter. 

We believe these products will increase your knowledge of the fleet services sector, improve the efficiency of your organisation, or help you find new products/services to enhance your operational capabilities.

As necessary to fulfil our contract with you:

Where you have a contract with us for paid services such as exhibition stand space or advertising, your data is being processed on contractual grounds, so that we may provide the service you have paid for.

IP Address: Your Internet Protocol (“IP”) address is a number that is automatically assigned to the computer that you are using by your Internet service provider. An IP address may be identified and logged automatically in our server log files whenever you access our websites, along with the time of the visit and the pages that were visited. Your IP address may also indicate your approximate physical location. Collecting IP addresses is standard practice and is done automatically by many websites, applications and other technologies. We use IP addresses for purposes such as calculating usage levels and diagnosing server problems.

Legal Requirements: We may share information about you if necessary or appropriate, in our good faith judgment, to comply with laws or regulations or in response to a valid subpoena, order, or government request, or to protect the operations, privacy, safety, property or rights of Broden Media or others.

Business Transfer: In the unlikely event of a sale or merger of Broden Media or any of our businesses, our customers’ personal information and other information we have collected as described in this policy may be among the transferred business assets.
